Your privacy is important to me! All information collected by kajaswords.com is collected and used in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA).
I will only share your information with another business or organization for the purpose of providing you a service you’ve signed up for (e.g. connecting you to Zoom for a video call) or fulfilling your product order (e.g. giving your mailing address to the shipping company sending your parcel). In rare cases, I may also be required by law to provide your information to a government agency or other third party.
In all cases, I will do my best to limit information shared to the minimum required, and to keep your information secure. You will always be given the choice to opt in to cookies and any marketing emails.
For more details on how I handle your personal and business information, click on the headings below:
What information do you collect, and why?
When you order a product, you voluntarily provide information such as your name, your shipping address, and your billing details. This information is used to fulfill your order.
When you book a consultation, you provide your name and email via the signup form. This is used to set up our video session and let you connect securely via Zoom. During our video calls, you may choose to share personal or business information with me as it becomes relevant to the conversation. You will have full control over how you share this information (e.g. sharing verbally, screen sharing, or giving me temporary access to a Google Drive file). I use the information you provide to give you effective advice and feedback during consultations.
When you use the contact form or email me directly, you provide your name and email, and may also provide additional personal or business information over the course of our correspondence. I use this information to answer your emails and initiate any necessary follow-up steps (e.g. booking a consultation, modifying a product order). I will also keep a record of our correspondence in my email account.
When you browse this website, your IP address is automatically collected, and you may also opt in to cookies via the automatic pop-up. This information is used to optimize your browsing experience, and I may also use it for analytics or marketing.
After placing an order or making a booking, you will receive a limited number of email updates confirming the status of your order/booking.
You will only be sent marketing emails (e.g. newsletters, product updates) if you opt in to them.
How do you get my consent?
When you voluntarily provide me with personal information to make a booking, complete a transaction, verify your credit card, place an order, arrange for a delivery, or return a purchase, you are consenting to it being collected and used for that specific purpose.
When you voluntarily provide me with personal or business information during a consultation or via email, you are consenting to it being collected and used to fulfill any requests you make during the conversation, and to give you the best possible service.
If I wish to use your personal or business information for any secondary reason, such as marketing, I will always ask for your express consent.
Can I withdraw my consent?
Yes! You can change your mind at any time. If you would like to change anything about how I collect and use your information, please contact me directly at kaja@kajaswords.com.
How do you handle proprietary business information?
I recognize that consulting often involves learning proprietary business information, and that this may be particularly sensitive for clients working in the same industry as me.
I will never share your business information with a competitor, and will never use it to gain an advantage in any areas where our businesses may overlap. Any internal documents you choose to share with me will be deleted at the end of our consulting relationship, and you may revoke my access to shared files or databases at any time. For additional peace of mind, I am happy to sign a Non-Disclosure Agreement or similar document prior to our first consulting session.
If I want to use any information about your business (e.g. demographic data) to improve or advertise my consulting services, I will always ask for your express permission.
How do you secure my credit card and payment information?
Kajaswords.com is hosted on WordPress, and uses WooCommerce to handle all sales transactions. WordPress uses SSL encryption to secure your connection to kajaswords.com. In addition, your credit card data is never recorded or stored on this website. It goes through the WooCommerce payment gateway directly to the payment processor.
Deoending on the option you choose, your payment processor will either be Stripe or Paypal. Both companies adhere to the Payment Card Industry Data Security Standard (PCI-DSS) as managed by the PCI Security Standards Council, which is the global standard for credit card security.
You can read the full privacy policies for all of the organizations involved in your transactions below:

What about other third-party services and links?
Once you leave this website or are redirected to a third-party website or application, you are no longer governed by this privacy policy.
I encourage you to read the privacy policies of all services you use so that you understand how they use your personal information.
In particular, remember that certain providers may be located in or have facilities that are located in a different jurisdiction than either you or me. If you elect to proceed with a transaction that involves a third-party service provider, your information may become subject to the laws of the jurisdiction(s) in which that service provider or its facilities are located.
For example, if you are located in Canada and your transaction is processed by a payment gateway located in the United States, then your personal information used in completing that transaction may be subject to disclosure under United States legislation, including the Patriot Act.

What’s the deal with cookies?
The following explanation is taken from the Automattic.com cookie policy:
Cookies are small pieces of data, stored in text files, that are stored on your computer or other device when websites are loaded in a browser. They are widely used to “remember” you and your preferences, either for a single visit (through a “session cookie”) or for multiple repeat visits (using a “persistent cookie”). They ensure a consistent and efficient experience for visitors, and perform essential functions such as allowing users to register and remain logged in. Cookies may be set by the site that you are visiting (known as “first party cookies”), or by third parties, such as those who serve content or provide advertising or analytics services on the website (“third party cookies”).
Both websites and HTML emails may also contain other tracking technologies such as “web beacons” or “pixels.” These are typically small transparent images that provide us with statistics, for similar purposes as cookies. They are often used in conjunction with cookies, though they are not stored on your computer in the same way. As a result, if you disable cookies, web beacons may still load, but their functionality will be restricted.
Kajaswords.com uses cookies in accordance with the Automattic.com policy, which you can read here.
To disable, delete, or manage cookies, follow the instructions for your browser linked here.
How long do you store my information?
WooCommerce will automatically delete unused accounts and incomplete orders after 1 year. Complete orders are automatically deleted after 6 years. Stripe and PayPal store transaction details in accordance with their own privacy policies.
Inactive email conversations will be archived for 2 years before deletion, with the following exceptions: emails directly relating to orders or transactions (6 years); emails relating to contracts and agreements (5 years); emails containing threats, harassment, or other criminal behaviour (indefinitely).
Any emailed or locally stored files sent by consulting clients, as well as login credentials to cloud-based files, will be deleted within 1 week of the end of the consulting relationship.
Can I see what information you have collected about me, or ask you a question about it?
Absolutely! To see, edit, or delete any information we have collected about you, or to make a complaint or ask a question, please email Kaja Sadowski at kaja@kajaswords.com.
